HP Virtual Hearings Solution

HP helps courts provide more effective and efficient justice. The HP Virtual Hearings Solution eliminates the need for courtrooms used for pretrial hearings and allows judges to determine pretrial motions at any time or place. HP Virtual Hearings Solution includes two modules:

  • Case Progression and Management - helps ensure cases are ready for trial on their specified trial date
  • Digital Courtroom - a computer system that allows all required parties to hold a pretrial hearing over the Internet

With HP Virtual Hearings Solution, all parties can file any pretrial motions electronically. And judges can also manage the progression of a case electronically, ensuring all actions are completed quickly and on time.

Digital Courtroom

Required parties can hold a pretrial hearing over the Internet with HP Digital Courtroom, which is based on a secure eRoom. Users can access the system through a standard browser. And the eRoom foundation provides a secure location for all case data that is accessible by the appropriate parties including documentation, digital audio, digital images/video, correspondence, discussion groups and case calendars.

While hearings, which resolve matters concerning the case prior to trial, are usually short and deal with uncomplicated matters, attorneys are still required to be present in the courthouse. Benefits of Digital Courtroom include:

  • Less waiting time for judges, attorneys and all participants
  • Reduced costs for the court and parties involved – no need for a courtroom, clerks and bailiff
  • Courtroom is available to be used for other trials
  • Fewer risks to prisoners, witnesses and the public as participants are kept physically separated
  • Details of all interactions automatically maintained before and during the hearing
  • More efficient use of limited court resources

Case Progression and Management is a dashboard-based process control system that is configured as an online facility. It can function as a standalone application but adds value when integrated with the Digital Courtroom module. Together they enable the court and case participants to monitor the progression of actions and ensure that trials are conducted when planned, reducing the ineffective trial rate and the total costs associated with criminal cases. Case Progression and Management:

  • Maintains a list of milestones and judge’s directions for each case
  • Monitors the due dates for all items such as witness list due
  • Automatically notifies online parties about actions assigned to them and generates letters for parties that do not have access to e-mail
  • Sends reminders when items approach their due date
  • Enables the completion of an online request to vary the trial or the milestone date – where all parties are active online participants – and captures responses to the request
  • Allows the case progression officer to manage the case until the trial starts using the reporting suite

Prior to implementation of the Case Progression and Management module, one HP client was postponing 80 percent of its cases because they were not ready for trial. The HP solution reversed their postponement rate and now the court has 80 percent of all cases ready on time. Case Progression and Management proactively manages the pretrial process by:

  • Increasing the number of trials that start on time, consequently reducing the strain on witnesses and plaintiffs by reducing the number of ineffective and delayed trials
  • Reducing overall workload of the courts and average cost of a case by completing cases sooner
  • Introducing more standard pretrial processes, which is applicable to 95 percent of all cases
  • Allowing a single case progression officer to manage more cases
